How to Manage Participants and Contacts on a Deal

Learn how to add or remove participants and contacts to your deals and view messages sent

A participant is someone invited to the deal — a client, a team member, or a cooperating party. A contact is someone you add for information only: contacts cannot access the deal.

The Participants page shows everyone on the deal. From there you can add, edit, replace and remove participants and contacts, and message them.

You reach it from within your Representation, Offer or Applications file.

Adding participants

You add your clients when you create the deal, from Add Client on your Deals page. How many you can have depends on the deal:

  • Sellers, buyers and tenants — up to four.

  • Landlords — up to two.

If the deal already exists and you need someone else on it:

  1. On the Participants page, choose Add Participant.

  2. Select the participant role from the drop-down.

  3. Fill in their contact information and Save.

  4. They appear on the Participants page.

Escrow and title cannot be participants. Add them as contacts instead — see below.

Observers

An observer can view every document your clients have been assigned or completed, but cannot sign anything.

  1. On the Participants page, choose Add Participant and select the Observer role.

  2. Fill in their contact information and Save.

They are notified that they have been added, and can see any document assigned to your client.

Compliance Managers

A Compliance Manager is who you submit documents to for compliance review. This role used to be called Reviewer.

You cannot add a Compliance Manager from Add Participant. The role is assigned to a team member by your team's admin in Team Management, and they are then on your deals automatically.

If a deal has no compliance manager, that is what has to be fixed — your Team Admin assigns the role. See Guided Compliance Review.

Once they are on the deal, you can submit documents for their review.

Brokers and Transaction Coordinators

Both are members of your team. Your team's admin can assign these roles in Team Management, and if that is not configured you can add someone to the deal in one of these roles yourself.

Brokers

A broker on the deal serves in a supportive role: they can see activity on the deal and help draft documents.

  1. On the Participants page, choose Add Participant and select the Broker role.

  2. Fill in their contact information and Save.

To check whether your broker is already on the deal, look at the Participants page.

Transaction Coordinators

A TC on the deal can draft, assign and submit documents on your behalf, communicate with other participants, and send documents for compliance review. See Working with your Transaction Coordinator on Jointly.

  1. On the Participants page, choose Add Participant and select the Transaction Coordinator role.

  2. Pick from the team members already assigned a TC role for your team, or add your own — in which case you fill in their contact information. Save.

Contacts

Contacts are the stakeholders around a transaction — attorneys, escrow and title officers, mortgage lenders, service providers. You cannot assign documents to a contact, but you can message them and attach documents to the message. See Jointly Messaging Center.

Escrow and title are handled this way: add them as a contact, then message them whatever they need. There is no participant role for them.

  1. On the Participants page, click Add Contact.

  2. Select the contact role. If the role you need is not listed, choose Other.

  3. Enter the contact and company information and click Save.

The contact then shows on the Participants page, where you can message them, update their information or remove them.

Editing, replacing or removing someone

Everything you do to an existing participant or contact is in the three-dot menu next to them on the Participants page.

  • Update Information — change their name, email or phone number.

  • Replace Participant — swap this person for someone else in the same role.

  • Remove Participant — take them off the deal.

Some participants cannot be removed. If the option does not work for someone, contact Jointly Support.

The old name is still on a document

Correcting a name does not change a document that has already been created. Fix the name first — in the gear settings or here on the Participants tab — and then delete the document and add it again from the forms library. The corrected name appears on the new copy.

A document that has not been drafted yet needs none of this: it picks up the corrected name when it is created.

This applies to a participant's name and to an entity name, on any document.

Message log

Click a person's avatar on the Participants page to open their message log: every message Jointly has sent them, and whether they opened it. For more information, see Did My Client Receive a Notification?.
