Setting Team and User Email Templates

How to create email templates for agents and teams as a Jointly Pro or Business Partner.

Email templates save you drafting the same message twice and keep your wording consistent. They are created per deal type — Buyer, Seller, Tenant or Landlord — and they support Smart Fields, placeholders that fill themselves in with the deal's own data.

Who can use email templates?

Email templates are available on Pro and Business accounts. You can read more about Jointly Pro and Business accounts here.

Anyone on either plan can create templates for their own use. Team templates — the shared ones a whole team draws from — can only be created by a Team Admin on a Business account.

Where do I create my own templates?

  1. Select the Profile button on the left sidebar.

  2. From Manage Profile, select Email Templates on the left.

Where do I create my team's shared templates?

Only a Team Admin can do this.

  1. Select the Team button on the left sidebar.

  2. From the Manage Team window, select Email Templates on the left.

Templates saved for a team are stored under Shared Templates, where the whole team can reach them.

How do I create an email template?

The steps are the same whether you are in your own Email Templates or your team's.

  1. Choose the template type first — Buyer, Seller, Tenant or Landlord — then select +Add Template in the upper right corner.

  2. Name the template using the pencil icon.

  3. Set the Subject line for the email.

  4. Write the body. Use Smart Fields for anything that should fill itself in from the deal — learn more about Smart Fields here.

  5. Select Save Template. It then appears in your templates list.

How do I use an email template?

  1. While drafting a message on a deal, select the template icon at the bottom of the message.

  2. Pick the template you want from the list.

  3. The message fills in with that deal's own data.

Why can't I find my template?

You only see templates that were created for the same deal type as the deal you are on. A template saved under Buyer will not appear on a Seller deal.

So if a template is missing, it was most likely saved under a different type. Open your Email Templates, check which type it is under, and create it under the type you need.
