When your compliance manager rejects a document, it shows REJECTED in your documents list and the deal can't move forward until you deal with it. Here is how to find out why, fix it and send it back.
My deal says "Missing or Rejected Docs". How do I know which document was rejected?
Open the deal's documents tab and look at the Compliance Status column. Every document your compliance manager rejected shows REJECTED. Requirements you haven't provided yet show Required.
Why was my document rejected? Where do I see the compliance manager's note?
Click the document marked REJECTED to open it. The note from your compliance manager is in the Document History on the left, under Reason for Rejection — for example, "Missing signatures."
If your compliance manager chose to notify you, you also get an email titled A document needs your attention with the same note. Not every rejection sends that email, so always check the document itself.
How do I fix a rejected document and send it back for review?
If the note asks for a corrected document, upload the corrected file in place of the rejected one:
Open the rejected document and click Replace File in the controls at the bottom of the document.
Click Upload documents, choose the corrected file and click Upload.
The new file takes the rejected document's place in your list, with no compliance status yet. The rejected copy moves to Archived.
Open the new file and click the Submit for Review icon at the top right of the document. You can also tick its checkbox in the list and click REQUEST REVIEW — see Submitting a document you added later.
The document now shows PENDING REVIEW.
If you'd rather change the document inside Jointly than upload a new file, see How to Edit a Document. It explains which kinds of changes need your clients to sign again.
The document was rejected by mistake. How do I send the same file back?
If nothing needs to change — the document was rejected in error, or your compliance manager asked you to send the same file again — open it and click Resubmit For Review in the controls at the bottom of the document. This removes the rejected status.
I added the amendment or addendum compliance asked for. How do I submit it?
Whether an amendment is enough, or the original document has to be corrected, is your compliance manager's call — check the note first. If an amendment is what they asked for:
Make sure the amendment has a document type, so it counts toward the right requirement. See Meeting a Document Requirement.
Send it for review with the Submit for Review icon or REQUEST REVIEW, as above.
Open the original rejected document and click Resubmit For Review. Adding the amendment does not clear the rejection on its own, because the rejection is on the original document.
Can I delete or archive a rejected document?
Yes. In the deal’s documents list, click the ⋮ at the right of the document and choose Archive or Delete.
If you are replacing the document with a corrected version, you don’t need to do this: Replace File moves the rejected copy to Archived for you and puts the new file in its place.
I fixed everything, but the deal still says "Missing or Rejected Docs"
Fixing the documents doesn't send the deal back to your compliance manager on its own. Once no document shows REJECTED, click the transaction approval status at the top of the deal and select Submit for Review. The status goes back to IN REVIEW and your compliance manager is notified. See Submitting a document you added later for the steps with screenshots.
