The Participants pages on your deal will show you all of the invited participants and contacts. You can add, edit or remove participants and contacts from this page. Additionally, you can send messages to participants and contacts from this page.
Your deals within Jointly can include multiple participants in a variety of roles.
Adding Participants
To start a deal in Jointly, you always want to select the Add Client button from your Deals Page. When making this selection you will be prompted to select the type of client you are representing. This will create your deal and prompt you to add your clients to the deal. Jointly supports up to four clients on a deal.
If you have started your deal and find that you need to add an additional participant, you can add them from within your deal.
To add a participant, navigate to your participants page within your Representation, Offer, or Applications file and choose "Add Participant".
Then, select the participant role from the drop down.
Complete the prompts for the participant's contact information and hit save.
The participant has been added, which you can view from the Participants page.
Observers
An observer is someone you can add to your deal that has the ability to view all documents that your clients have been assigned or completed but will not have the ability to sign any documents. You can add an observer to a deal via the participants page within your representation, offer or application folder.
To add an observer, navigate to your participants page within your Representation, Offer, or Applications file.
Then select the observer role from the drop-down list.
Complete the prompts for the observer's contact information and hit save.
The observer will receive a notification that they have been added to the deal and will have access to any documents that your client has had assigned to them. You can see that the participant has been added to the deal via the participants page.
Reviewers, Brokers and Transaction Coordinators
Reviewers, Brokers and Transaction Coordinators are all members of your team and each plays a vital role within a deal. These roles can be assigned to a member of your team by your team's designated admin via the Team Management section. If this is not already configured, you can manually add a participant to your deal in one of these roles.
Reviewers
A reviewer is someone that you can submit your documents to for compliance review.
You can learn more about Jointly's compliance review here. If your team does not already have a reviewer automatically assigned to your deals upon creation you can manually add them to your deal at any time.
To add a reviewer, navigate to your Participants page within your Representation, Offer, or Applications file.
Then select the Reviewer role from the drop-down list.
Complete the prompts for the Reviewer's contact information and hit save.
Your reviewer will then be added to your deal and you will have the ability to submit documents for their review.
Brokers
If added to your deal, a broker will serve in a supportive role. They will have the ability to see activity within your deal and assist in drafting of documents. You can also submit a CDA or Lease Invoice for their authorization. You can add a broker to your deal, if not already added based on your Team's configuration. To check if your Broker is already a participant on your deal, navigate to the Participants page.
To add a broker, navigate to your Participants page within your Representation, Offer, or Applications file.
Then, select the broker role from the drop-down list.
Complete the prompts to add the broker's contact information and hit save.
Your broker will then be added to your deal and they will have the ability to view activity within your deal and submit a CDA or lease invoice for their review.
Transaction Coordinators
If added to your deal, a Transaction Coordinator can draft, assign and submit all documents on your behalf, communicate with other participants on the deal and send documents for compliance review. You can learn more about working with a transaction coordinator on your deals here.
To add a Transaction Coordinator, navigate to your Participants page within your Representation, Offer, or Applications file.
Then, select the transaction coordinator role from the drop-down list.
You will then be prompted to select from a list of team members that are already assigned a Transaction Coordinator role for your team or you can add your own. If you choose to add a non-existing transaction coordinator, you will be prompted to complete their contact information. Hit Save once completed.
Contacts
Contacts are stakeholders involved in a transaction such as attorneys, escrow/title officers, mortgage lenders and service providers. An agent or agent's team member can add contacts to a deal to have their contact information easily accessible. You cannot assign documents to a contact, but you can send them a message in Jointly and attach documents in the message. To learn more about messaging click here.
To add a contact, navigate to your participants page within your Representation, Offer, or Applications file and choose "Add Participant".
Click the "Add Contact" button.
Select the contact role you want to add from the drop-down list. If you don't see the role, select Other.
Enter the contact and company information and click Save.
Your contact will now show in the Participants page. You can message them, edit their information or remove them from the deal.
Editing a Participant or Contact
You can edit your participant or contact by navigating to the participants page and either;
Hover over their name with your mouse to see the pencil "edit" icon
or click on their avatar and select the pencil icon.
Removing a Participant or Contact
To remove a participant or contact, navigate to the participants page and hover over the participant or contact with your mouse and select the "remove" icon.
Note: In some instances you will not be able to remove a participant. Please reach out to Jointly Support for assistance if you are unable to complete this task.
Message Log
The participants page is also where you can view all the messages sent from Jointly to a participant or contact — you can even see if an email was opened! Access the log of messages sent by selecting the participant’s or contact's avatar.
