Setting Team Scenarios, Default Documents & Tasks

Learn how to create and manage default documents for different transaction scenarios for your team

As a Team Admin, you can create and manage custom document scenarios for different Real Estate situations and choose which scenario to use on each deal. Scenarios let you pre-configure documents and tasks for different transaction and property types, so your agents always start with the right requirements.

Accessing Default Document Scenarios

Open Team Settings and select Default Documents


You will be taken directly to the first scenario within the first folder in the folder
dropdown (Residential scenarios are automatically available as a baseline)

Creating Scenarios

Select the deal-type folder where you want the scenario (Buyer Documents, Seller Documents, etc.)

Click the + button


You will see an “Add New Buyer Scenario” (or Seller Scenario, etc...). Name your scenario and click Create Scenario

Adding Documents to Scenarios

Adding Document from Forms Library

Click ADD DOCUMENT and select from the forms library.

If selecting from the TXR forms library, find the desired document by clicking the ADD DOCUMENT button and searching the forms library. Then, select a trigger for the document. A trigger is when you want the document to appear in the task list. (IE.. When the deal is created or when creating an offer or upon execution, etc.)


Adding Custom Templates

If you have a team template saved in the same deal type you are wanting it to trigger on. Click the ADD DOCUMENT button and select from custom templates then choose when you would like the document to trigger.

Adding an Upload Requirement

To have an upload requirement trigger for an agent to upload a document. Click the ADD DOCUMENT button and select 'Create document upload requirement'.


Choose when you want the document to be requested and click NEXT.

Add the name of the document and select an option for the document requirements. Click SAVE

Editing a Scenario

Click the edit icon in the upper-right corner of the scenario page.

You will see the same options as when creating a scenario, but the modal is titled “Edit Scenario". Here you can rename it.

Deleting Scenarios

Click the delete icon in the upper-right corner of the scenario page.


You will see confirmation screen. Click Delete to confirm.


Choosing a Scenario When Creating a Deal

If only one scenario is available there won't be an option to select a scenario

Once you enter the client information, you will be prompted to choose which scenario you want to use for your deal. The documents set in your team scenario will be added to your deal depending on the scenario you choose.

Changing the Scenario After a Deal is Created

Buyer Deals

  • Click the gear icon at the top of your navigation bar to access the 'Edit Overview' section, scroll down to the Deal Scenario section and click the drop down menu to update the scenario.

Seller Deals

  • Open Edit Listing Overview from the gear icon at the top of the navigation page and click 'Edit Listing Information'.


    Scroll down to the Deal Scenario section and click the drop down menu to update the scenario.

What happens when a scenario changes (Coming Soon)

  • New documents will automatically upload that was set up for the scenario

  • New placeholders will appear in the Documents tab for Transaction Approval

  • Old placeholders will be removed

    • Existing uploaded documents will not be removed, even if their placeholder is removed

Restrictions

Agents (and “act on behalf of agent” roles) cannot change scenarios once the transaction’s approval status is In Review.

This feature is only available on deals created 11/26/25 and later. If you want the scenario to apply to an existing deal created before that date, the only way to do that would be to create a new deal.
