Default documents and tasks are tasks that you can configure to automatically reflect in your Team's task list throughout a deal. These can be set to reflect in the task list upon a specific trigger event that occurs within the deal. Setting these for your team makes the document drafting and uploading experience more efficient, and helps guide your agents and Transaction Coordinators through the deal ensuring compliance.
What are Default Document and Task Triggers?
Throughout the lifecycle of a deal in Jointly, certain events may occur. These events can be the initial creation of the client deal, the property being listed, having an offer executed, closing on the transaction and more.
When we configure default documents and tasks, we can set them to display in the task list within the deal based on one of the events above occurring. This is what we refer to as a trigger. An example of this in action would be seeing the representation documents ready to draft upon the creation of the deal, an upload task in your task list prompting you to add the MLS Printout once the property is listed or sending your client a document with local utility information once the offer is executed.
How do I Create my Team's Default Documents and Tasks?
Navigate to your Team icon in the left bar.
Select the Default Documents option.
Select which deal type you want to select default documents for. Default documents are separated by the deal type of what client you are representing. IE. Buyer, Seller, Landlord and Tenant.
Select +Add Document.
Choose your document from the existing TXR forms library, your own previously created template or upload your own document and follow the custom mapping experience.
TXR Forms Library
If selecting from the TXR forms library, find the desired document.
Select a trigger for the document. A trigger is when you want the document to appear in the task list. IE. When the deal is created or when creating an offer.
Optional, select an additional trigger. IE. New Build
Existing Template
Select the desired template.
Select a trigger for the document. A trigger is when you want the document to appear in the task list.
Create Document Upload Requirement
Upload your desired document and map the applicable fields.
