How to Update the Deal Status

Learn how to update the deal status to Executed, Closed, Terminated, Withdrawn, Submitted or Rejected.

Which statuses you can set depends on which part of the deal you are on: representation has a Pipeline status, and an offer, lease or application has its own deal status.

How do I change the status?

The steps are the same in both cases; what changes is where you start and which statuses you are offered.

  1. Open the deal whose status you want to change: the representation deal to set the Pipeline status, or the offer, lease or application to set its own status.

  2. Find the status label at the top of the page, next to the deal or property name. It shows the deal's current status — Submitted, Active, and so on. (You may also hear it called the status chip.)

  3. Click the pencil icon next to it.

  4. The Update Deal Status window opens. Choose the new status, enter a date if you are asked for one, and save.

Which statuses can I choose?

On representation

The field is called Pipeline status:

Status

What it means

Onboarding

You are ready to draft the representation agreement.

Active

You have a signed representation agreement. On buyer and tenant deals this is shown as House Hunting.

Pending

You have an executed offer.

Closed

The transaction is completed.

Why does my deal say House Hunting?

House Hunting is the same status as Active — it is simply how Active is labelled on buyer and tenant deals. So if the label on your deal reads House Hunting and you are looking for it in the drop-down, choose Active.

On an offer, lease or application

Status

What it means

Submitted

It has been sent to the other side.

Executed

It is fully signed. When both sides sign in Jointly this is set for you; when the document was signed anywhere else, you set it yourself.

Terminated

It has been terminated.

Closed

The transaction has closed.

Withdrawn

It has been withdrawn.

Executed works differently from the rest, so it has its own section below.

When does the deal become Executed?

Executed only appears in the drop-down while the deal is not executed yet — which is why you will not see it on a deal that already is.

How the deal gets there depends on where the signing happened:

  • Both sides signed in Jointly — once both sides have signed and the document is completed in Jointly, the status updates to Executed on its own. You do not need to set it.

  • Anything else — if the document was signed outside Jointly and uploaded, or only one side signed in Jointly, the status does not update by itself. Set it to Executed yourself, using the steps above.

That is the usual reason a deal sits at Submitted when the contract is already signed: the signing did not happen for both sides in Jointly, so nothing moved the status.

When a deal becomes Executed:

  • An offer deal moves to the Executed Contract folder; an application deal moves to the Executed Lease folder.

  • The execution date is recorded.

  • The Timeline becomes available, on the Pro package and above. You can also update the timeline from inside the offer or application folders.

My offer says Submitted but the listing agent never got it

The email to the listing agent is sent from the message that appears on screen when you click Submit. If you close that message instead of sending it, the status still changes to Submitted but no email goes out.

Do not change the status and do not resubmit. Use the envelope icon or the Remind button to send the notification. You can attach additional offer documents to that email before sending it.

Something on my submitted offer needs to change

If you are the buyer's agent, just edit the offer. There is no separate retract step and you do not need one.

Be aware of what editing does:

  • The contract is removed from the listing agent's tasks.

  • The buyer signatures are cleared.

  • The listing agent loses access to the earlier version.

Your clients will need to sign again, and you will need to resubmit.

What does marking a deal Closed do?

Marking a deal Closed does not archive it and does not affect your commission. It never happens on its own — once the transaction closes, you set it yourself.

If your team has set one up as a default document, marking a purchase deal closed creates a task for the final closing document, which you upload to the deal.

Set the status — do not drag the card

On the Deals page you can drag a deal card between columns, but that only moves the card. The deal's actual status does not change, and the card and the status then disagree with each other.

If you find a card in the wrong column, it was almost certainly dragged there. Set the status properly using the steps above and the card will follow.
